Wallets & Transactions / Recording transactions

Recording transactions

Recording transactions

Payments can be recorded from both the invoices list and the financial entries list using the "Record transaction" / "Record payments" option in bulk actions.

How does it work?

1
In the invoices or financial entries list, select one or more items to be paid.
2
From bulk actions, choose Record transaction (invoices) or Record payments (financial entries).
3
In the popup you can set:
  • Payment date — Defaults to today.
  • Select wallet — Which wallet the payment is made from.
  • Generate bank transfer file — (invoices only) When enabled, the system generates a downloadable transfer file in the format of the bank configured for the selected wallet.
4

5
Select wallet — Which wallet the payment is made from.
6
Generate bank transfer file — (invoices only) When enabled, the system generates a downloadable transfer file in the format of the bank configured for the selected wallet.
7
The list of selected items appears, where you can modify the amounts for each item (e.g. for partial payments).
8
Click Submit to record the transactions.

Payable type

The transactions table includes a payable type column that shows whether the transaction is linked to an invoice or a financial entry, making it easy to identify the source.

Bulk payment

You can select multiple items at once and record their payments in a single step. For invoice payments, the bank transfer file will contain the transfer details for all selected invoices.

Bank confirmation later

A payment recorded here (e.g. together with a generated transfer file) is not yet bank-confirmed. When you later upload the monthly bank statement, the reconciliation recognises the recorded transaction and confirms it instead of creating a duplicate: it is moved to the statement's wallet and its date is aligned to the actual bank booking date.
