Invoice overview

Invoice list

In the Invoices menu you'll find all incoming and outgoing invoices. The list displays invoices in a table format that can be filtered, sorted and searched.

Displayed data

Invoice preview — An icon indicates the invoice type (PDF, Billingo, photo); clicking it lets you view the invoice directly from the list.
Origin — An icon indicates where the invoice came from (NAV, Billingo, email, upload, photo).
Partner — The issuer or recipient of the invoice; new invoices receive a blue badge.
Cost center — The assigned cost center displayed as a badge.
Job number — The assigned job number displayed as a badge.
Invoice number — The unique identifier, copyable with a single click.
Due date — The payment deadline.
Gross amount — The amount in the invoice currency.
Registry number — The sequential registry number for incoming invoices.
Status icons — Icons at the end of each row indicate the invoice state: forwarded, approved, booked and payment status (unpaid, partially paid, fully paid, overpaid).

When does an invoice count as paid?

An invoice is shown as fully paid when the remaining balance is negligible: for same-currency payments at most 5 HUF or 0.5% of the invoice's HUF gross amount, whichever is greater. When the invoice was settled in a different currency than its own (for example a EUR invoice paid in HUF by bank transfer), the tolerance widens to 5% of the gross amount: the invoice's middle rate and the bank's actual rate can drift apart by several percent, and that difference is reality, not an under- or overpayment. The same rule drives the payment status icon, the payment status filter and the payment status returned by the API.

Invoices paid by card, cash or cash on delivery are settled automatically as soon as they enter the system. For foreign-currency invoices the payment is booked in HUF at the invoice's exchange rate, so the wallet balance moves by the true HUF value and the invoice nets exactly to zero. Storno invoices with these payment methods settle automatically too — a negative transaction returns the money to the wallet.

Filtering options

A collapsible filter panel above the table is organized in 4 sections:

Direction

Invoice direction — Show incoming or outgoing invoices.
Invoice region — Domestic, EU or non-EU region.

Status

Invoice file — Dropdown: Missing (invoices without PDF) or Not missing.
Payment status — Unpaid, Partially paid, Fully paid, Overpaid. Fully paid also includes invoices whose residual is within the tolerance (max. 5 HUF or 0.5% of the gross; 5% for payments made in a different currency, covering exchange-rate drift).
New — Only newly received, not yet viewed invoices.
Approved — Show only approved invoices.
Not approved — Show only invoices pending approval.
Awaiting booking — Filter for invoices not yet booked.
Forwarded — Only invoices containing forwarded items.

Cost center

Cost center — Filter by one or more cost centers (multi-select).
Job number — Filter by one or more job numbers (multi-select).

Period

Due date — Filter by any payment date range.
Delivery date — Filter by delivery date range.
Invoice date — Filter by issue date range.

Bulk actions

Select one or more invoices using the checkboxes on the left, then use the Bulk actions menu for the following operations:

Categorise — Assign a cost center and job number to the selected invoices. Every invoice item is uniformly set to the chosen cost center and job number.
Approve — Approve (or revoke approval of) the selected invoices.
Mark as booked — An accountant feature to mark invoices as booked.
Registration — Automatically assign sequential registry numbers to the selected incoming invoices in due-date order.
Data export — Export the selected invoice data in multiple formats (Excel, CSV) and layouts.
Download invoices — Bulk-download all selected invoice PDFs in a single ZIP file.
Record payments — Record a payment for the selected invoices by choosing a wallet. During recording you can also generate bulk bank transfer files that can be imported directly into your online banking.
Delete selected — Delete the selected invoices.

Invoice types

ControlliQ handles two types of invoices:

Incoming invoices — Invoices received by the company, to be paid.
Outgoing invoices — Invoices issued by the company (synced from NAV or Billingo).
