Invoice Management / Manual upload

Manual upload

Manual invoice upload

In addition to NAV and Billingo sync, you can also manually upload invoices.

Upload steps

1
Navigate to the Invoices menu.
2
Click the Bulk invoice upload button.
3
Select the PDF file(s) to upload. You can upload multiple invoices at once.
4
Click the Submit button.

What happens after upload?

The AI automatically processes the submitted invoice: it extracts all relevant data (invoice number, dates, amounts, VAT, partner, line items), then searches for a matching invoice record from another source (e.g. NAV) already in the system. If a match is found, it pairs the uploaded PDF with the existing record. If not, it creates a new invoice record with the extracted data.

Supported formats

ControlliQ accepts invoices in PDF format. For best results, upload clear, readable PDFs.

Invoice photo capture

In addition to PDF upload, you can also capture invoices directly with your phone camera. This is especially useful for paper-based invoices (e.g. receipts, till slips).

1
Navigate to the Invoices menu.
2
Click the Capture invoice photo button.
3
Allow camera access in your browser if prompted.
4
Photograph the invoice pages. For multi-page invoices, photograph all pages, then click the upload button.

The system extracts data from photos using the same AI processing as for PDFs.

Credit usage

Invoice processing uses 1 AI credit per invoice.
